This Privacy Policy explains how GAMETE CONGRESS TÜRKİYE 2026 collects, uses, transfers abroad, and protects your personal data in accordance with the Turkish Personal Data Protection Law (KVKK).

1. Data Controller

Your personal data is processed by the GAMETE CONGRESS Organizing Committee acting as the "Data Controller" for the purposes of congress organization, scientific evaluation, and communication.

2. Data Collection and Categories

We collect information provided directly by you during registration and abstract submission:

  • Identity and Contact: Full name, academic title, institution, email address, and phone number.
  • Scientific Data: Submitted abstracts, presentation files, and student/academic verification documents.
  • Financial Data: Proof of payment (receipts) and billing information. (Credit card details are processed via secure gateways and are NOT stored on our servers).
3. Purposes of Processing

Your data is processed for the following purposes:

  • Creating participation records and issuing certificates.
  • Managing the peer-review process for scientific submissions.
  • Communicating congress updates, programmes, and announcements.
  • Fulfilling legal obligations such as invoicing and taxation.
4. International Hosting and Cross-Border Data Transfer

Our website and database are hosted on servers located outside Türkiye, in Europe. As a result, the personal data you provide during registration is stored and processed on these servers abroad. In accordance with Article 9 of the KVKK, this cross-border transfer and storage of your personal data is based on the explicit consent you provide during registration. Our hosting provider may access the data solely for the purpose of technically maintaining the service.

5. Data Sharing with Third Parties

Personal data will not be shared with third parties except for the publication of the Congress Proceedings Book or as required by legal authorities. Scientific abstracts will be published as part of the public congress record.

6. Data Retention

Your personal data is retained for as long as required by the purposes of the congress and applicable legal retention obligations. At the end of this period, your data is either deleted or anonymized.

7. Your Rights

Under Law No. 6698, you have the right to access, correct, or request the deletion of your data, and to withdraw the explicit consent you gave for the cross-border (EU) transfer and storage of your data. For inquiries, please contact gametecongress@gmail.com.
